Steps before acceptance as a doctoral candidate
Step-by-step guide
- Please register as a doctoral candidate in the doctoral candidate portal "doc-in".
"doc-in"External link is the online administration for doctoral procedures at the Friedrich Schiller University Jena and accompanies you through the entire PhD phase. If you wish to start a PhD at the University of Jena you have to register in the portal with your personal data. This electronic data sheet will be maintained throughout the entire doctoral period and will be gradually filled: from the application for acceptance through the enrollment to the opening of the doctoral procedure. Thus, doctoral candidates can always obtain information of the status and progress of their doctoral procedure. - In "doc-in"External link, select "Application for Acceptance as a Doctoral Candidate" (in German: Antrag auf Annahme als Doktorand/in) and you will be guided through the application step-by-step. After entering all data, print the completed application form and this supervision agreementpdf, 170 kb · de.
- Sign the application and the supervision agreement. Then get the signature of your supervisor.
- Submit the following documents, preferably personally at the Graduate Office of the Faculty:
- the filled application form - both signed by you and your supervisor
- the filled supervision agreement - both signed by you and your supervisor
- your curriculum vitae
- a certified copy of your Grade Certificate (if you have completed your studies at the Friedrich Schiller University Jena, simple copies are sufficient)
- Please bring a personal document (identity card, passport, electronic residence permit) for registration at the Graduate Office.
- Please register as a doctoral candidate in the doctoral candidate portal "doc-in".

The opening of your doctoral examination proceedings requires the submission of various documents. Please note the following notes and forms:

Please note: A personal consultation in the Faculty's Graduate Office is strongly recommended before opening the doctoral examination proceedings!
Deadlines for the submission of the doctoral documents
In order to open your doctoral examination proceedings on time, you have to submit the complete documents to the Graduate Office until Tuesday in the week before the next meeting of the faculty council.
Here are the next deadlines:
- Faculty council: 17 January 2024 → deadline: 9 January 2024
- Faculty council: 7 February 2024 → deadline: 30 January 2024
- Faculty council: 10 April 2024 → deadline: 2 April 2024
- Faculty council: 8 May 2024 → deadline: 30 April 2024
- Faculty council: 5 June 2024 → deadline: 28 May 2024
- Faculty council: 3 July 2024 → deadline: 25 June 2024
Theses and documents that are submitted after these deadlines cannot be considered until the next meeting of the faculty council.
